Terms of Travel

Meals

For meals, B, L & D stand for Breakfast, Lunch and Dinner respectively. American or buffet breakfasts will be served and included everywhere. All meals are covered in Latin America (Belize, Costa Rica, Mexico and Panama). Please refer itinerary to know the meals that are covered in different Caribbean destinations. Soft drinks and alcoholic beverages are not included. Special meal requests like vegetarian will only be entertained, subject to the availability.

Rooms

Double rooms as mentioned in the itinerary, mean room with 2 beds and a private bath or shower. King beds are provided on request and on availability. Single rooms are available in limited numbers. Triple rooms normally contain 2 beds sometimes a rollaway is available but not guaranteed. Change in room type e.g. triple changed to double or double changed to single, due to cancellation, will eventually lead to paying higher tour price for the remaining client(s). Request for non-smoking rooms can be accommodated subject to availability.

Transportation

Transportation will be provided by air-conditioned motor-coach or shuttle and in some cases by boat. Smoking is prohibited during transportation. Seats are rotated daily.

Travelers Needing Special Assistance

Travelers needing individual assistance for mobility purpose should be accompanied by an able escort, and the same must be intimated in writing to Caribbean Comtessa, LLC at the time of booking. Wheel chairs are not accessible in certain places. The travelers needing wheelchairs should provide themselves with their own small collapsible wheelchairs, keeping in mind the inaccessibility of wheelchairs in some places.

Luggage

It is recommended that due to space limitations, the travelers should carry only one piece of luggage weighing not more than 50 pounds, in addition to one small handbag and/or small flight bag to be carried personally. Caribbean Contessa, LLC can not be held responsible for loss or damage of your belongings during the tour and suggests to refrain from traveling with expensive jewelry or other valuables.

Gratuities

Tips to local guides, restaurant waiters, porters are included but the same is not convered for Caribbean Tour Director, Drivers etc.

Not Included

Prices like airfare, visa charges, country entry or departure fees, airport porter charges, phone calls, valet services, items of personal nature are not included so do the beverages and food outside the regular menu. Tour price does not include general fees and taxes as listed separately beneath each tour’s price.

Airfare

Airfare is not included in the tour price but if requested, the Caribbean Contessa, LLC, will help clients to make flight arrangements. The clients have to pay for the airfare separately.

Passports and Visa Requirements

Travelers holding US passport, must have a validity for 6 months to travel across the Caribbean. For Non US citizens, please check locally with the competent authorities.

Final Documents

Before the tour begins, you will get from us packaging and travel tips, a day-to day itinerary, luggage tags and stickers, hotel addresses’ list. In to address all your possible queries, we shall also arrange free live teleconferences few weeks prior to your departure. Attending teleconferences are voluntary but for obvious reason, it is highly recommended.

Management and Responsibilities

Caribbean Contessa, LLC being a tour operator, its responsibility is only limited to its status. In case of undesirable disputes, it is imperative that tour participant agrees on principle that the claim of maximum refund should not exceed the tour price. The responsibility of Caribbean Contessa, LLC lies in making arrangement for the tour services offered such as booking hotels, sight-seeing, transportation(whether by motor coach, shuttle, boat, train, airplane or any other means), guides, porter age, and meals etc from various suppliers (collectively “Suppliers”). The planned itinerary is subject to last minute change due to unforeseen and unavoidable reasons including hotels, activities and routings. For some genuine and valid reason particular services as included in your itinerary, can not be provided or a substitute service of similar nature or value can not be extended to, our liability shall not exceed the actual cost of the services not provided. The Suppliers are not agents, servants, employees or joint ventures of Caribbean Contessa, LLC, but are Independent Contractors providing travel services to Caribbean Contessa, LLC. Caribbean Contessa, LLC can not be held responsible for any damage, including personal injury, accident, personal loss or other expense, from any cause, act or omission by Suppliers or third parties. Tour participant agrees that by utilizing the travel services of Suppliers, that tour participant will look to Suppliers for any damages of any kind. Caribbean Contessa, LLC is not responsible for any purchases made during the tour. Caribbean Contessa, LLC is not responsible for the costs of any medical treatment required during your tour, nor is Caribbean Contessa, LLC responsible for the quality, or lack thereof, of medical care you may receive while on your tour. Caribbean Contessa, LLC and/or its agents are not responsible for any damage, expense or inconvenience caused by late departures, change of schedule, strikes or other conditions. Caribbean Contessa, LLC is not liable for any wrongful, negligent, or unauthorized acts or omissions of any travel agent or travel agency. Legal proceedings by or against Caribbean Contessa, LLC. may be instituted only in a state or federal court within the State of Kentucky, and any claim involved in such proceedings shall be decided in accordance with the laws of the State of Kentucky. Caribbean Contessa, LLC reserves the right to decline to accept or retain any person as a member of a tour at any time before or during the actual operation of the tour. Caribbean Contessa, LLC reserves the right to cancel any tour at any time. In the unusual circumstance of computer or human billing error, Caribbean Contessa, LLC reserves the right to re-invoice with correct billing.

Travel Protection Plan

It is recommended that travelers purchase the$99 optional travel protection, at the time of deposit.

The plan helps the travelers to get the full refund of their tour cost less $100, in case of cancellation, and prior to the departure. An additional amount of $50 for administrative fees will be charged in case the cancellation is made 72 hours before the commencement of the tour or during the tour. Refunds for the missed days on tour are calculated on the basis of actual cost of services not used, less any expenses incurred by Caribbean Contessa, LLC, and not on a per day basis, however the commissions for travel agent are not covered din the event of cancellation.

Cancellation Fees

If you decide that you do not wish to purchase the Caribbean Contessa, LLC Travel Protection Plan at time of deposit, cancellations will be charged the per person fees listed below. In fairness to others and because of expenses incurred, we cannot make exceptions:

Time of cancellation will be when notice is received in the Caribbean Contessa, LLC offices. Cancellation fees apply even if a person transfers to another tour or start date.
